This document-based job aid for standard operating procedures (SOPs) on multi-function printers serves multiple purposes. It facilitates efficient onboarding and training for new users, ensuring a standardized understanding of printer operations. The document acts as a quick and accessible reference guide, reducing the risk of errors and promoting compliance with organizational standards.

Overview

By providing clear step-by-step instructions, this job aid that I designed, enhances overall task efficiency and minimizes downtime. Its adaptability to changes ensures that users always have access to the most current information, and its inclusive design caters to diverse learning styles. Ultimately, a well-crafted job aid not only supports effective printer use but also contributes to cost savings by preventing errors and promoting optimal equipment operation.  

Process

I began by contacting a copier technician to use as my subject matter expert (SME). I interviewed my SME regarding the standard operating procedures (SOP) a copier technician must perform on all multi-function printers (MFP) at each service call, and took note of the proper sequence of steps that need to be performed. Then, I created a process map to help visualize and plan the sequence of actions end users need to take when interacting with the multi-function printer. My last step was to create the job-aid in Canva, keeping in mind accessibility for all users, and Mayer's Multimedia Principles.

Results and Takeaways

By leveraging Canva, Lucidchart, and collaborating with a subject matter expert, I was able to design a visually appealing, user-friendly, and informative job aid that enhances the training and performance of technicians working with multi-function printers. The design process also allows for continuous improvement based on feedback and evolving procedures.
